Privacy Policy

This Privacy Policy explains how CheckToSign, a service operated by NaniBoo LLC (“CheckToSign,” “we,” “us,” or “our”), collects, uses, shares, stores, and deletes information when you use the CheckToSign mobile application, website, and related services (collectively, the “Service”).

1. Information We Collect

Depending on how you use the Service, we may collect the following categories of information:

  • Account information: such as your email address, authentication identifier, account settings, and subscription or entitlement status.
  • Documents and document content: PDFs, photographs, scans, extracted text, and other content you choose to upload for analysis. Documents may contain names, addresses, signatures, financial terms, employment information, or other personal information.
  • Analysis and chat content: summaries, extracted fields, questions, answers, and other AI-generated output associated with a document.
  • Technical information: device type, operating system, app version, IP address, diagnostic logs, crash information, and basic usage information used to operate, secure, and improve the Service.
  • Purchase information: product identifiers, transaction identifiers, subscription status, and entitlement information received from Apple, Google, or other authorized payment platforms. We do not receive your full payment-card number from Apple or Google.
  • Communications: information you provide when you contact us for support or other inquiries.

2. Camera, Photos, and Files

If you choose to scan or upload a document, the app may request access to your camera, photos, or files. We use that access only to provide the document feature you selected. You can control device permissions through your device settings.

3. How We Use Information

We may use information to:

  • provide, operate, secure, and maintain the Service;
  • process documents and generate summaries, extracted terms, reminders, and answers;
  • authenticate users and synchronize saved account information;
  • process or verify purchases and access rights;
  • respond to support requests and communicate about the Service;
  • detect abuse, fraud, security incidents, and technical problems;
  • understand performance and improve reliability, usability, and features; and
  • comply with legal obligations and enforce our Terms & Conditions.

4. AI and Document Processing

CheckToSign uses automated and artificial-intelligence technologies to analyze document content. To provide these features, document text or files may be transmitted to service providers that perform functions such as cloud hosting, storage, document extraction, optical character recognition, AI processing, authentication, analytics, diagnostics, or security.

AI-generated output may be inaccurate, incomplete, or based on an incorrect reading of the source document. The original document should always be used to verify important information.

5. How We Share Information

We may share information only as reasonably necessary with:

  • Service providers that help us provide hosting, storage, AI processing, document extraction, authentication, analytics, diagnostics, communications, security, and customer support;
  • Payment and app-store platforms such as Apple or Google for purchases, subscriptions, refunds, and entitlement verification;
  • Professional advisers when reasonably necessary for legal, accounting, security, or compliance purposes;
  • Authorities or other parties when required by law or reasonably necessary to protect rights, safety, security, or prevent fraud; and
  • A successor or transaction party in connection with a merger, acquisition, financing, reorganization, or sale of all or part of the business, subject to applicable law.

We do not use uploaded contract content to serve targeted advertising. We do not sell full payment-card information because we do not receive it from Apple or Google.

6. Data Retention

We retain information only for as long as reasonably necessary to provide the Service, maintain your account, satisfy legal or accounting obligations, resolve disputes, prevent fraud, and enforce agreements. Saved documents and associated analyses may remain available while your account is active unless you delete them or request deletion. Temporary processing data and backup copies may remain for a limited period until securely deleted or overwritten in the ordinary course of operations.

7. Account and Data Deletion

If account creation is enabled, you may request deletion of your account and associated personal data. The in-app deletion path will be provided in the Account or Privacy settings, and an external deletion method is available at www.checktosign.com/delete-account/.

We may retain limited information when required for legal, security, fraud-prevention, tax, accounting, or dispute-resolution purposes. We will not treat account deactivation as a substitute for a valid deletion request.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No service can guarantee absolute security, and you should avoid uploading information that is unnecessary for the analysis you want.

9. Your Privacy Choices and Rights

You may be able to access, correct, delete, or obtain information about your personal data depending on your location. You may also withdraw certain permissions through your device settings. To make a privacy request, email info@checktosign.com or use the account-deletion page.

10. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can review and delete it as appropriate.

11. International Processing

Information may be processed in the United States and other countries where our service providers operate. Where required, we use appropriate measures for international data transfers.

12. Website Technologies

Our website may use essential cookies or similar technologies needed for security, functionality, and basic site operation. If we later add non-essential analytics or advertising technologies that require consent, we will provide the appropriate notice or controls.

13. Changes to This Policy

We may update this Privacy Policy as the Service changes. We will post the updated policy on this page and revise the effective date. If a change materially affects how we handle personal information, we will provide additional notice when required.
